Marketing & Sales Support Coordinator

We are seeking a Marketing & Sales Support Coordinator to serve as the production and logistics engine behind our marketing, tradeshow, and business development efforts. Working day-to-day alongside our Business Development & Marketing Lead and reporting to the President & Creative Director, this person creates polished, on-brand materials, keeps our proposals and tradeshows running smoothly, and provides the inside sales support that keeps our pipeline organized. This is a full-time, onsite role based in our Downtown Orlando office with approximately 15–25% travel for industry tradeshows and events.

This role is ideal for someone who takes pride in producing excellent work, thrives on organization and follow-through, and wants to grow their marketing and business development skills inside a collaborative, design-driven company. Where the Business Development & Marketing Lead owns client relationships and the strategy behind our pursuits, this role owns the execution that makes those efforts look effortless.

This is a hands-on production and coordination role with real ownership. You will own the creation of marketing and proposal materials built from our company standards, manage the logistics that make our tradeshow presence successful, and keep our CRM and sales-support systems accurate and useful. You will partner closely with the Business Development & Marketing Lead — they set strategy and own client relationships; you own production, logistics, and the systems that keep everything on track.

The role adapts to the seasonality of our tradeshow schedule, where some months are steady and others call for a larger, all-hands-on-deck team effort. The right person is proactive, detail-obsessed, calm under deadline pressure, and excited to grow their skills and responsibility over time.

Qualifications & Skills

Required Qualifications & Skills

  • 2–4 years of experience in marketing, proposal coordination, sales operations, administrative operations, or a related production-focused role.
  • Bachelor’s degree in Marketing, Communications, Business, or a related field, or equivalent professional experience.
  • Proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator) for producing professional marketing materials.
  • Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel); working knowledge of Google Workspace.
  • Exceptional attention to detail and accuracy in document preparation and formatting.
  • Strong organizational and time-management skills, with the ability to manage multiple deadlines in a fast-paced, deadline-driven environment.
  • Experience with CRM systems and online submission portals.
  • Strong written communication skills and the ability to create polished, professional materials.
  • Professional, reliable, and calm under pressure, with a willingness to learn, adapt, and grow into increasing responsibility.

Strongly Preferred Qualifications & Skills

  • Experience supporting proposals, RFPs, presentations, or concept packages.
  • Background in design, architecture, engineering, hospitality, themed entertainment, or other client-services industries.
  • Familiarity with marketing analytics, lead-generation tracking, or CRM reporting.
  • Experience coordinating tradeshow or event logistics, including vendor management and shipping.
  • Interest in growing marketing, production, and business development support skills over time.

Responsibilities & Duties

  • Marketing Production & Brand Standards
    • Create and produce marketing and sales materials from our company brand standards — presentations, project sheets, capability statements, social content, award submissions, and client-facing documents.
    • Work fluently within Adobe Creative Suite to produce polished, on-brand visual materials, and help develop brand standards and templates where they don’t yet exist.
    • Maintain and organize marketing assets, including image libraries, templates, and creative content libraries.
    • Update and maintain website content, including project pages, blog posts, and employee bios, ensuring accuracy and brand consistency.
    • Assist the design team with concept booklet production — compiling research, precedent studies, reference imagery, and supporting visuals (the design team owns the creative storytelling; you help produce and assemble it).
    • Help maintain consistent company branding and professional presentation across all marketing touchpoints.
  • Proposal Production
    • Own proposal production — formatting, assembly, compliance checks, and on-time submission — working from the strategy and content provided by the Business Development & Marketing Lead.
    • Organize and maintain proposal files, templates, and document libraries using standardized formats and naming conventions.
    • Ensure consistency in formatting, branding, and messaging across all proposal and qualification materials.
    • Support the use of online submission portals and internal tracking tools; flag missing information and follow up to ensure completeness.
    • Track multiple concurrent proposals and maintain clear timelines so deadlines are consistently met.
  • Tradeshow & Event Logistics
    • Coordinate tradeshow and event logistics end-to-end — vendor communication, travel planning, booth materials, shipping and tracking of assets, and on-site preparation.
    • Manage branded materials and SWAG, including selection, design coordination, inventory, and fulfillment.
    • Support the client gifting program — research, packaging, shipping, and database updates.
    • Coordinate internal and external events, including company functions, lunch & learns, and client visits.
  • Inside Sales & CRM Support
    • Maintain accurate client, project, and opportunity data within our CRM system.
    • Support lead tracking, follow-up communication, and business development reporting.
    • Develop and maintain sales and marketing reports that provide visibility into pipeline activity and campaign performance.
    • Provide general administrative and operational support related to proposals and sales efforts.
  • Marketing Operations
    • Manage advertising services and vendor coordination, including ad placements, performance tracking, and proper documentation such as NDAs with clients, partners, and vendors.
    • Partner with accounting and leadership to track marketing expenses and approvals, ensuring alignment with budget and timely processing.
    • Identify and implement improvements to internal processes, organization, and tracking systems.
